San Diego should continue to implement its new policy to regularly review open work orders to ensure that it closes work orders in a timely fashion.

Annual Follow-Up Agency Response From November 2020

San Diego State University has implemented, in Fall 2020, its aging work order management process to ensure open work orders are regularly reviewed and closed timely. Work order projects are now categorized, assigned, numbered, and tracked through the computerized maintenance management system (CMMS). Documented reviews are regularly conducted, and quarterly reports are reviewed by administrative level management to ensure that any delays are noted in the CMMS. Any aged work orders that remain open without sufficient reason will be closed out and if a closed project must be reinstated, a new work order must be submitted.

San Diego provided evidence demonstrating that it implemented a new policy in September 2020 to regularly review open work orders to ensure that it closes work orders in a timely fashion.


Annual Follow-Up Agency Response From October 2019

Facilities Services has implemented a process for Management to review all outstanding work orders every 45 days. The computerized maintenance management system is updated with notes as work orders progress so that status can be tracked/audited. Work orders over 60 days are reviewed monthly for status updates. Facilities Services is in the final stages of monitoring this process to ensure continuity and support documents will be provided with final audit response.

Facilities Services continues to actively develop written processes and procedures to assure work orders are closed in a timely fashion. The initial approach includes two levels of oversight, established target time-frames for closing of work orders, and re-focusing of staff on work order management.
